  1. OUR COMMITMENT TO YOUR PRIVACY

Gold in the Net BC (“GITN BC”, “we”, “us”, or “our”) respects your privacy. We are committed to protecting the personal information of our camp participants, parents, and guardians. This Privacy Policy explains how we collect, use, and protect your information in accordance with British Columbia’s Personal Information Protection Act (PIPA).

  1. WHO WE ARE

Gold in the Net BC is a goalie hockey training camp serving children aged 7 to adult. Our main office is located in British Columbia, and we are part of a larger organization with corporate offices in Alberta.

  1. PRIVACY OFFICER

Our Privacy Officer is responsible for making sure we follow this policy and answer your questions about privacy.

  1. WHAT PERSONAL INFORMATION WE COLLECT

We collect the following personal information:

FROM PARTICIPANTS:

  • Full name
  • Date of birth and age
  • Gender
  • Contact information (address, phone number, email)
  • Hockey team name
  • Current skill level
  • Jersey size
  • Medical information (allergies, health conditions, emergency contacts)
  • Photos and videos taken during camp activities

FROM PARENTS/GUARDIANS (for participants under 19 years old):

  • Full name
  • Contact information (address, phone number, email)
  • Relationship to participant
  • Emergency contact information

We only collect information that we need to run our camps safely and effectively.

  1. WHY WE COLLECT YOUR INFORMATION

We collect personal information for the following purposes:
CAMP OPERATIONS:

  • To register participants in the appropriate skill level and training groups
  • To ensure participants receive properly fitting jerseys and equipment
  • To communicate camp schedules, locations, and updates
  • To ensure participant safety and provide emergency care if needed

To manage payments and refunds

MARKETING AND COMMUNICATIONS:

  • To send information about future camps and training opportunities
  • To share goalie tips and training advice
  • To notify you about special events
  • To inform you about goalie equipment and gear sales
  • To provide updates about minor hockey rule changes that may affect goalies


PROGRAM IMPROVEMENT:

  • To evaluate and improve our training programs
  • To track participant progress over time


LEGAL AND SAFETY REQUIREMENTS:

  • To comply with insurance requirements
  • To meet legal obligations under sports regulations
  • To maintain records as required by law

We will tell you why we are collecting your information at the time we collect it.

  1. HOW WE GET YOUR CONSENT

We need your consent before we collect, use, or share your personal information.

FOR ADULT PARTICIPANTS (19 years and older):

You provide consent when you:

  • Complete and submit a registration form
  • Sign our consent and waiver forms
  • Provide information to us directly

FOR MINOR PARTICIPANTS (under 19 years old):

A parent or legal guardian must provide consent on behalf of the minor. Parents/guardians provide consent when they:

  • Complete and submit a registration form for their child
  • Sign consent and waiver forms on behalf of their child
  • Provide information to us about their child

You can withdraw your consent at any time by contacting our Privacy Officer. However, if you withdraw consent, we may not be able to provide camp services to you or your child.

  1. HOW WE USE AND SHARE YOUR INFORMATION

INTERNAL USE:

We use your personal information internally to operate our camps, communicate with participants and families, and improve our programs.

SHARING WITH OUR CORPORATE OFFICE:

We may share participant information with our corporate office in Alberta for:

  • Corporate announcements
  • Organization-wide communications

Administrative purposes

WE DO NOT SELL YOUR INFORMATION:

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

LIMITED SHARING WITH SERVICE PROVIDERS:

We may share information with trusted service providers who help us operate our camps, such as:

  • Payment processors
  • Email service providers
  • Website hosting companies

These service providers are required to keep your information confidential and use it only for the purposes we specify.

LEGAL REQUIREMENTS:

We may disclose your information without consent if required by law, such as:

  • In response to a court order or subpoena
  • To comply with legal regulations
  • To protect the safety of participants or others
  • In the case of a medical emergency where a participant cannot provide consent
  1. PHOTOS AND VIDEOS

We may take photos and videos during camp activities for:

  • Promotional materials (website, social media, brochures)
  • Training purposes
  • Camp memories

We will obtain separate consent for use of photos and videos in promotional materials. You can choose not to consent to promotional use while still participating in camp.

  1. HOW WE PROTECT YOUR INFORMATION

We take the security of your personal information seriously. We protect your information by:

  • Limiting access to personal information to staff and volunteers who need it
  • Using secure methods to store physical and electronic records
  • Training staff and volunteers on privacy and confidentiality
  • Using passwords and secure systems for electronic information
  • Shredding physical documents containing personal information before disposal
    No security system is perfect, but we work hard to protect your information from unauthorized access, loss, or misuse.
  1. HOW LONG WE KEEP YOUR INFORMATION

We keep your personal information only as long as needed for the purposes described in this policy, or as required by law.

Generally:

    • Registration and medical information: Kept for the current season plus 2 years
    • Financial records: Kept for 7 years for accounting and tax purposes
    • Photos and videos: Kept as long as you have given consent for their use
    • Marketing contact information: Kept until you ask us to remove you from our mailing list

When we no longer need your information, we securely destroy it.

  1. YOUR RIGHTS

Under PIPA, you have the right to:

  • ACCESS YOUR INFORMATION:

You can ask to see what personal information we have about you. We will provide this information within 30 days of your request.

  • CORRECT YOUR INFORMATION:

If any information we have about you is wrong or incomplete, you can ask us to correct it.

  • WITHDRAW CONSENT:

You can withdraw your consent for us to use your information at any time. Contact our Privacy Officer to do this.

  • MAKE A COMPLAINT:

If you think we have not followed this policy or PIPA, you can:

  • Contact our Privacy Officer to discuss your concerns
  • File a complaint with the Office of the Information and Privacy Commissioner for BC

  1. HOW TO ACCESS OR CORRECT YOUR INFORMATION

To access or correct your personal information:

  1. Contact our Privacy Officer in writing (email or mail)
  2. Include your full name and contact information
  3. Describe what information you want to access or correct
  4. If requesting access, include proof of identity

We will respond to your request within 30 days. There is no charge for most requests, but we may charge a reasonable fee for large or complex requests.

  1. MARKETING COMMUNICATIONS

If you have given us your email address or phone number, we may contact you with information about:

  • Future GITN BC camps
  • Goalie training tips
  • Special events
  • Equipment and gear sales
  • Rule changes affecting goalies

You can stop receiving marketing communications at any time by:

  • Clicking “unsubscribe” in any email we send
  • Contacting our Privacy Officer
  • Telling us directly that you do not want to receive marketing communications

We will remove you from our marketing list within 10 business days.

 

  1. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make changes, we will:

  • Post the updated policy on our website
  • Note the effective date at the top of the policy
  • Notify registered participants and families of significant changes

We encourage you to review this policy periodically.

 

  1. CHILDREN’S PRIVACY

We are committed to protecting the privacy of children. We collect personal information from children only with parental or guardian consent. Parents/guardians have the right to:

  • Review their child’s personal information
  • Ask us to delete their child’s personal information
  • Refuse to allow further collection or use of their child’s information
